Team Captain's Meeting Minutes for February 15, 2011
THEME:
"HAVE NO FEAR, RELAY IS HERE. SUPER HEROES FOR A CURE" This theme gives us lots of room for ideas for on-site decorations, team names and more.
FUNDRAISING:
Learn to ASK. If its $1, hey that's $1 more that you have. Anything helps. It adds up fast. If you would like a Tax ID letter to hand out to companies/businesses, please contact Team Development Chair, Cathy Lowell.
LUMINARIAS:
Our Luminaria Chair, Shari Scholz explained that luminaria bags are $5 each. This year, they will go towards your individual fundraising, not counted separately as in years past. Which is great!!!
DELEGATING:
Cathy reminded the team captains to delegate. In the packets there is a form that gives an example of delegating. Use your team members strengths. Remember, you don't have to do everything.
DEPOSITS:
Our accounting chair explained how to make this process smooth and easy. NO COINS PLEASE! It is too time consuming and hard for the Accounting chairs to handle all the coins. If you have coins you can take them to a coin machine or bank. Fill out the deposit bags completely. Make sure the information is clear to get credit for the funds you have raised. Make sure that each participants envelope is clearly marked and accurate, so that they get credit for the deposit. If it isn't clearly marked the money will be posted as team funds or even to the general fund. Money orders can be sent to the ACS. Make sure it clearly states ATTN: OREGON CITY RELAY.
SILENT AUCTION:
This year each team has the option to do one big basket or 3 small ones. Please focus on display. Make sure all your items in the basket are visible so folks don't have a hard time seeing what is in the basket. Last year we raised $4000! Remember think outside the box. Home made items are ok. If you have any questions, please contact our Silent Auction Chair, Kelly Odgers at kl03@msn.com.
SPONSORSHIP:If you know a company/business that would be interested in being a sponsor for our event, let us know and we can get you a Sponsorship Packet. If you have any questions please contact our Event Chair, Allison Wellman or our Co-Event Chair Theresa Barney.
PURPLE PLEDGE:
Cathy handed out the "Purple Pledge" form. This is a signed pledge for team members dedicated to staying the full 24 hours. Doesn't mean you have to stay awake for 24 hours! We don't want to discourage those that can't be there for the full 24 hours either. We truly understand some folks are unable to do so. Being there for a half hour is better then none. But for those who can sign it, it is an impact and testament to what you are willing to do and a great way to recognize those that have been there the full 24 hours. The team development chairs are currently working on finding an item for those that take the pledge to display at the Relay.
PUBLICITY DAY:
Let's spread the word! Team Captains and team members can meet the Committee outside Rite Aid in the Oregon City Shopping Center on Saturday, March 5th at 10:00 am. From 10 am to Noon, we will be passing out flyer's in the neighborhoods and at local businesses telling them when and where the Relay will be. This is a great opportunity to let the Oregon City community know when and where the Relay is and what the Relay is all about. We will be handing out flyers and asking businesses to post the flyers in their windows, if they don't mind. This is good publicity to get more folks to come to the Relay!
TEAM CAPTAINS UNIVERSITY (TCU):
There has been talk of having a joint Team Captain's University with Canby, Estacada and yes, Mollalla. :) TCU is a great way to learn more about the Relay, where the funds go to, your roles and how to help your team succeed. Cathy asked if this would be of interest and if anyone would want to go. Captains agreed this would be beneficial and voted for it to be on a Saturday morning. As soon as we get more concrete information (time/location), we will let you know.
CONTEST AWARD:
Congratulations to Team Curves and Team 4 Life for registering 15 people on their team. After a drawing between Laura (Curves) and Debbie (Team 4 Life) the winner was Laura!
Next month contest award will be for the team that helps recruit and register 2 other teams for the Relay.
SCOOP AWARD:
Jenny Barrett from team Circle of Life won the scoop award for bringing the largest deposit to our meeting. Anyone can achieve this award - come to the meeting and bring your deposit. The team with the largest deposit automatically wins.

NEXT TEAM CAPTAIN'S MEETING: Tuesday, February 15th!!!
NEVER FEAR RELAY IS HERE.......SUPERHEROES FOR A CURE!!!!
I wanted to remind you that our February Team Captain Training is this coming Tuesday, February 15, 2010 at 6:10 p.m. at:
Oregon City Fire Station; 624 7th Street
We are going to cover a number of different areas - I.e. how to fill out your deposit envelopes and information on our improved silent auction......
This is one meeting you do not want to miss. I have a lot of packets with information that I will be passing out and we are introducing something new to our Relay this year. you have to come to the meeting to find out what it is.......Also any team captain that has all 15 team members registered and comes to the meeting will be entered in a drawing for a fun prize......
Do you know someone that hasn't registered yet? Lets get in touch with our friends and family and remind them that Relay is just 133 days away and we need their help to make this our best year yet! Our goal is 60 teams and our fundraising goal is $82,000. You have already raised $4,130. Great Job!!!
We are also looking for anyone interested in being a sponsor for our Relay.
Oh and did I forget to mention there will be refreshments......

We are going to cover a number of different areas - I.e. how to fill out your deposit envelopes and information on our improved silent auction......
This is one meeting you do not want to miss. I have a lot of packets with information that I will be passing out and something new to our Relay this year...... you have to come to the meeting to find out what it is.......Also any team that has all 15 team members registered and comes to the meeting will be entered in a drawing for a fun prize......
Do you know someone that hasn't registered yet? Lets get in touch with our friends and family and remind them that Relay is just 145 days away and we want this to be our best year yet! We need to have 60 teams registered to help us meet our goal of $82,000. We are also looking for anyone interested in being a sponsor for our Relay.
